What this calculator does
Most freelancers and consultants underprice their services — not because they lack skill, but because they calculate their rate based on what feels comfortable to charge rather than what they actually need to earn. This calculator works backward from your income goal to find the minimum rate that makes your business viable.
It accounts for six factors that most people ignore when setting their rate:
- Business expenses — software, insurance, marketing, and other overhead you pay out of pocket
- Vacation and time off — weeks you are not working but still need income to cover
- Non-billable hours — time spent on admin, email, proposals, and marketing that you cannot charge a client for
- Unpaid time buffer — scope creep, gaps between clients, late payments, and downtime
How to use it
- Enter your desired annual income — the gross amount you want to earn before taxes.
- Enter your estimated annual business expenses.
- Enter how many weeks off you plan to take (vacation, holidays, sick days).
- Enter your realistic billable hours per week — actual client-facing work, not total hours at your desk.
- Enter your estimated non-billable hours per week (admin, marketing, email).
- Enter a buffer percentage for unpaid time (15–20% is a reasonable starting point).
- Click Calculate My Rate to see your minimum and recommended rates.
Tip: The result shows your break-even rate. For a sustainable business, the calculator also shows a recommended rate with a 25% profit margin built in. Use the break-even as your floor, not your price.
How the rate is calculated
| Factor | Value |
|---|
This is the minimum rate to break even on your income goal. For a sustainable business, add a profit margin of 20–30% above this figure. Self-employment taxes (US: ~15.3%) are not included in these calculations.
